How to actually get a response from your GPO field coordinator.

A Field Coordinator's Reality

Every GPO calls them something different: regional directors, field services reps, clinical resource field reps, spend advisors. Different titles, same job.

They sit between the manufacturer and the hospital. They support contract conversions, find savings, sit in committee meetings, pricing reviews, and value analysis sessions. And each one covers 6 to 10 hospitals with thousands of active contracts.

The Email That Gets Ignored

This is what most vendor outreach looks like. It feels reasonable when you write it. But look at it through the eyes of someone managing thousands of contracts across eight hospitals.

No specifics in the subject line. Which contract? What category? She manages thousands. This subject line tells her nothing she can act on, and nothing that differentiates it from the dozen similar emails she got this week.
No contract number. No category. Which one of the thousands of contracts she manages? She can't even look it up without asking you for more information, which means she won't.
You're asking for her scarcest resource: time. Without giving her a reason. "Go over the contract details" is your job, not hers. What's in it for her?

"Target" is the wrong word and the wrong ask. They don't target accounts with you. They support contract conversions, savings, and compliance for the member hospital.

No savings. No data. No specifics. Nothing here helps her do her job. Nothing makes her look good to her boss. Nothing moves the needle on her goals. This email will sit at the bottom of her inbox.

The Email That Gets a Response

Same person. Same inbox. But this one gives her something she can actually use.

She can look this up immediately. Contract number, category, and a dollar figure right in the subject line. This subject line alone is more useful than the entire first email.
You've done the work. You're not asking her to start from zero. You've already engaged specific people at specific facilities, and you're telling her exactly where you are.

This is the language they speak. Savings is king. Contract compliance is the other king. You've just handed her both in three bullet points.

You're not asking her to sell for you. You're asking her to navigate for you. She knows the roadblocks, the people, the meeting schedules. This is a question she can actually answer.

Enterprise-level savings across multiple contracts. Now you've elevated the conversation beyond a single product line to a strategic relationship.

The Motivation Stack

Understand what drives them and you understand how to frame every conversation.

Their value to the hospital is measured in dollars saved. If you can quantify savings in your outreach, you're speaking their language.

Contract Compliance
Converting off-contract spend to on-contract spend drives fees and revenue back to the hospital. This is how the GPO demonstrates its value to the member.

Clinical Outcomes
This matters a lot, but for this relationship don't lead with clinical unless savings and compliance are already covered.

Your market share in this category
A specific savings projection with how you'll deliver it
Whether they're currently buying off-contract in this category
Who you've already spoken with at the facility
What you've tried that hasn't worked (where you're stuck)
A clear, specific ask: not "let's meet" but "can you help me navigate this roadblock?"
Other contracts you hold that could drive enterprise-level savings
